JVF Accounts Limited (registered in England and Wales, company no. 11690176) is an accountancy practice with offices in Woking, Surrey and Falfield, Gloucestershire. This notice explains what personal data we collect, why, and what you can ask us to do with it. We are the data controller for the information described here.
What we collect
- If you enquire through this website: your name, business name, email address, phone number, the option you selected and your message.
- If you become a client: the financial and personal information needed to prepare your accounts and returns — income, expenditure, bank and payroll data, and identification documents.
- Anti-money-laundering records: identification and verification evidence we are legally required to obtain and keep. We have a dedicated AML Officer responsible for this.
Why we hold it, and our lawful basis
- To provide accountancy services. Performance of our engagement with you.
- To answer your enquiry. Your consent, and our legitimate interest in replying.
- To meet legal duties. Tax law, the Companies Act and the Money Laundering Regulations require us to keep certain records.
Who we share it with
With HMRC and Companies House where we file on your behalf; with the software providers hosting the systems we use, including our cloud accounting software and the form service that delivers messages sent from this site; and with anyone we are legally required to tell. We do not sell your data or pass it on for third-party marketing.
How long we keep it
Client records are kept for the periods required by tax and anti-money-laundering legislation — generally at least six years after the engagement ends. Enquiries that do not become engagements are deleted on request.
Your rights
Under the UK GDPR you can ask for a copy of your data, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format. Some rights are limited where we are legally required to retain records.
